Global Meeting Services manages the internal meeting space and reception and operator services in the U.S. and abroad. The department oversees approximately 500 meeting rooms world wide in our the following offices: New York, New Jersey, Boston, Houston, Los Angles, San Francisco, London, Tokyo, Hong Kong, Paris, Milan, Madrid, Frankfort, Zurich and Mumbai.

Over 200 Lehman Brothers employees are involved with booking conference rooms, directing incoming telephone calls and covering reception areas globally.

Additionally, the department works closely with Event Marketing, Multi Media, Dining Services and Facilities to coordinate meetings in all Lehman facilities.

Key Responsibilities

Knowledge of Lehman Brothers Conference room capabilities throughout New York campus

Reserve Lehman Brothers conference rooms requested via LehmanLive web pages, email or direct telephone requests

Input conference room reservation information into the Lehman Brothers Conference Room Management System, ESP 2000

Input Catering, Facilities and Multimedia service items into ESP 2000

Confirm LehmanLive web bookings

Liaise with Lehman Brothers Reception staff regarding bookings on their floors

Run daily ESP 2000 reports

Perform general office duties: telephone coverage, respond to email and voice mail inquiries, filing, copying

Additional Duties

Follow up on booking information for large or complicated meetings

Enter information to be hard coded into ESP 2000 System

Assist Meeting Services Supervisor in running weekly and monthly reports

Distribute reports to Service Departments

Requirements

Proficiency with MS Office

Excellent telephone manner

Strong customer service focus

Ability to work quickly and accurately under pressure in a fast-paced environment

Ability to work as part of a team

Excellent verbal and written communication skills

Prior catering, multimedia, or hotel experience preferred

Minimum typing skill of 45 words per minute

Typical hours 8:00am-5:00pm, but should be flexible to work different shifts or overtime as necessary

High school diploma or equivalent; some college preferred
